Job Purpose

The Dispatcher is responsible for the effective coordination, communication, and monitoring of security ranks across all work sites. The dispatcher ensures proper deployment, real-time accountability of security ranks, accurate reporting of shortages and no coverage worksites. The maintenance of complete and accurate operational records and logbooks.


Key Duties and Responsibilities


    • The Dispatcher must communicate with all security ranks in a clear, calm and respectful manner at all times.   

                                                                                       

    • He/She must issue instructions firmly but courteously, ensuring understanding.


    • The dispatcher must avoid abusive and disrespectful language under all circumstances when talking to security ranks.


    • The dispatcher must practice patience and avoiding shouting at security ranks.


    • Report matters of misconduct, non-compliance and emergencies to the Operational Manager immediately.


    • The dispatcher must remain calm under pressure and pay attention to detail and accuracy.


    •  The dispatcher must monitor the movement of drivers and the various checks being conducted.


Deployment and Monitoring of Security Ranks


    • The dispatcher must coordinate the deployment of security ranks to all assigned  work sites.


    •  He/She must track the movement, location, and status of all security ranks on duty while ensuring timely replacement of  security ranks in cases of absence, lateness, or emergencies.

     

Shortage and No-Coverage Reporting


    • The dispatcher must identify and document any security rank shortages, late arrivals, and uncovered work sites.


    • The dispatcher is responsible for preparing and submitting daily reports, shortage reports and no-coverage reports promptly to Operations Management.


Logbook and Record Keeping

    • The dispatcher is responsible for accurately maintaining dispatch and control room logbooks at all times.


    • He/She must record:


    a) Names of security ranks on duty with their assigned work sites.


    b) Time in and time out of security ranks on duty including overtime


    c) Record shift changes, replacements, and redeployment of security ranks


    d) Record the incidents, shortages, and operational instructions at various worksites.


    e) Insert the data onto the time-sheets accurately.


    f) Responsible for employees in the building booking in and out various keys for the departments.


    g) Ensure all entries are legible, factual and signed where required.


    h) Safeguard logbooks and ensure they are available for inspection and audit.


    i) Record the movement of assets and important documents to other departments in the dispatch book.


    j) Monitor the security ranks working double and triple shifts and record in the meals sheet.


Compliance and SOP Adherence


    • The dispatchers must operate strictly in accordance with Elite Protection Services Inc Standard Operating Procedures, client requirements, and contractual obligations.


    • The dispatchers must support audits, inspections, and investigations by providing accurate dispatch records.


Authority


    • The dispatcher has the authority to issue operational instructions to security ranks as authorized by Operational management


Working Conditions


    • The dispatcher shift starts from 07:00hrs in the morning and ends at 19:00 hrs in the night. This includes weekends and public holidays


    •  Control room /operations center environment
